My name is Dr. Trudy Jermanovich.
I have problems with the way the district is rolling out new policies.
Here’s an example from the new policy 8560. There are so many errors here that it’s almost unintelligible. I know that the District DAC has a committee which reviews policies. Is the district just ignoring the established process? They could have caught these errors. For an educational institution to put out such a flawed document is unconscionable.
Here’s a direct quote from the materials provided for this meeting:
“The Information and Technology (IT) Records Retention Forms Control
Office shall develop and maintain distribute to all county department heads and principals a Forms Control mManual which shallaccessible to all county SBBC department heads and principals which sets forth the procedures necessary tofor the be usedprocess to control District in the forms control formsto maintain and monitor all existing, new, and revised forms system.”
I also believe that the PowerPoint presentation is lacking in an important feature. It would be good to have a quick discussion on why this change is needed. I’m sure it’s because the district has spent millions of dollars on technology to automate the control of the many records which are housed in this system. In the long run, having everything kept digitally will lead to faster service for all involved. This is a perfect opportunity to easily explain how the district is spending money wisely on expensive, new technology. But first, and foremost, please put policies through the District Advisory Council before bringing them to the Board. I’m sure the Superintendent’s Committee reviewing and suggesting policies and processes for Committees would want to know that existing committees are being used effectively. It appears in this presentation and the proposed policy change that the existing committee structure was ignored and many errors were placed on the agenda for all to see. Instead of a quick “rule development workshop” by the Board, this policy cannot be accepted as ready for a vote.
